Cancellation and Credit Policy

 

Totnes Classic Vehicle Show - River Dart Rotary

This event is organised and delivered by River Dart Rotary, part of Rotary International. As a charitable organisation, we have a responsibility to manage funds carefully and fairly, while always placing safety and wellbeing first. We thank you for your understanding and support.

Individual Cancellations

  • If you are unable to attend, please notify us as soon as reasonably possible.

  • As a Rotary club and registered charity (#1213209), River Dart Rotary commits to a number of non‑recoverable costs in advance (including venues, safety provision, equipment, insurance, and logistical arrangements).

  • For this reason, payments are non‑refundable by default. Where notice is received, monies paid will normally be retained and credited towards a future River Dart Rotary event, whenever that may be organised.

  • Requests for refunds will only be considered in exceptional and unforeseen circumstances, and at the discretion of the organisers, in line with Rotary’s principles of fairness and good stewardship.

Event Cancellation (Including Weather)

  • River Dart Rotary reserves the right to cancel, postpone, or amend an event where circumstances arise that are beyond our control, including adverse weather, safety considerations, or other unforeseen issues.

  • If an event is cancelled by River Dart Rotary:

    • Payments will normally be credited towards a future event, or

    • In exceptional circumstances, alternatives may be offered at our discretion.

  • Decisions relating to weather or safety are made with participant welfare as the overriding priority, consistent with Rotary’s commitment to responsible and ethical practice.

Late or On‑the‑Day Changes

  • If an event is curtailed or cancelled on the day due to changing conditions, refunds will not normally be available, as costs will already have been incurred.

  • Where appropriate, a partial credit towards a future River Dart Rotary event may be offered instead.

Safety and Responsibility

  • The safety of participants, volunteers, and members of the public is paramount. Circumstances may occasionally require short‑notice changes or cancellation, and such decisions are final.

  • River Dart Rotary will always act in good faith and in accordance with Rotary values.
